When a person from a business or organization travels, his hotel, food and transportation are often paid for by the business or organization for which he works.

Income statements show the operating results for a specific period. As such, reporting expenses is an integral part of the income statement. While income statement gives information regarding a company's past performance, it is also indicative of a company's future performance. Listing the expenses as a separate item on the statement provides interested persons with a breakdown of how much it costs the company to make money. Income expenses are expenses that are directly related to revenue such as wages and inventory.

Legitimate items include service and support for clients as well as travel, food and hospitality for yourself when you are out of town on business. It shows how much money a company makes from the sale of a single unit of its product and considers the money put into making the product. Variable costs are important in calculating contribution margins, since they change as the number of units produced changes.
It is not uncommon for there to be different expense item limits depending upon a travelers role within a company. For example, a vice president will likely have a higher dollar limit on entertainment meals than a sales representative, or be able to travel business class vrs. economy on flights longer than three hours.
